Conference On-Site Volunteer Responsibilities by Area

  • Gala Awards Banquet: This is a formal affair that occurs on Saturday night. The purpose of the banquet is to honor winners of member, corporate and HSCC awards. Volunteers are needed to check and collect banquet tickets, assist attendees in finding assigned tables, identify vacant seating and ensure that event runs smoothly.

  • Command Center: The Command Center is the "brain” of the National Conference. All conference-related information flows through the Command Center. Volunteers are needed to respond to inquiries and ensure that any issues are communicated in a timely fashion.

  • Dignitaries Reception: A special reception for senior executives, politicians and sponsors, distinguished speakers, board members and other dignitaries. Volunteers are needed to man the reception table and to provide information to dignitaries.

  • HSCC Judging: Volunteers are needed to ensure that judges have everything required for the judging process.

  • Logistics Control: Volunteers are needed to ensure that conference rooms are adequately prepared for meetings and to respond to problems as they arrive. Help with packing/label Conference items up which are to be sent back to the National Office and vendors (HSCC computers).

  • Opening Ceremonies: This is the official opening of the conference and will take place on specified date according to the conference schedule. The HSCC teams are introduced to the conference in this venue. Volunteers are needed to direct attendees to vacant seating and ensure that event runs smoothly.

  • Plenary Sessions: Plenary Sessions will be held on specified dates according to the conference schedule. Volunteers are needed to provide direction to attendees and ensure that event runs smoothly.

  • Souvenir Sales: Volunteers are needed to display items for sale and to process sales transactions through cashier.

  • Workshops: Workshops will be held on specified dates according to the conference dates according to schedule. Volunteers are needed to ensure that only registered participants are in attendance and to provide assistance to instructors as required. Read Presenters BIO, issue survey at the end of the session and present Presenter with either a BDPA gift, but definitely a BDPA Appreciation Certificate.

  • Youth Conference: Volunteers are needed to provide direction to Youth Conference attendees and respond to inquiries and problems as they arise. Assist with the off-site trip with group.

On-site Conference Volunteers

Must work a minimum of 10 hours during the annual conference. BDPA membership is NOT required.


Discounts and Allowances:

A) $100 rebate towards the following year National Conference registration fee.

B) $100 rebate towards next year's Awards Gala ticket 

C) Complimentary membership for non members.

On-site Conference Volunteers must complete a Conference Volunteer Schedule form of duties performed and hours worked and submit to the Volunteer Coordinator. The Volunteer Coordinator will track volunteer's hours worked and submit a copy to the CLT along with selected discount.

[Note: Once full conference registration payment is received and the Volunteer Coordinator has approved the hours worked and approved by the Conference Director, the discounted credit will be calculated.]
